Position: Administrative Assistant
Seasonal, Part-Time, $20 per hour, up to 40 hours/week (Jan-June approx.).
This is not a remote position; in-office work required.
Skills:
- Strong organizational skills
- Proficient in Microsoft Office with a concentration in Excel
- Flexible to changing priorities and with multi-tasking
- Detail Oriented
- Strong Customer Service skills (phone, email, etc.)
- Spanish language skills, a plus!
IENA is a US Department of State designated J-1 Visa Sponsor for cultural exchange programs. The Administrative Assistant will assist with our Summer Camp program, for which we recruit and sponsor applicants from around the world to work at American summer camps. Our Administrative Assistants will be responsible for reviewing hundreds of participant applications, shipping and processing documents required for obtaining visas, working with our camp clients, and much more!

Position: Program Coordinator
IENA offers an excellent benefits and compensation package including Health, Dental, Retirement and paid vacation. Salary range for this position is $40,000-$50,000/year.
Job Overview: To provide administrative support to the Summer Camp and Intern & Trainee visa programs. Assist with the day-today operations of the organization. Assist with the efforts to promote and grow programs. Manage all projects and tasks as assigned.
Responsibilities and Duties
- Provide superior customer service to all clients by answering a high volume of email inquiries with timeliness and troubleshooting problems related to systems, program regulations, financial statements, program applications and placements, and other issues as they arise.
- Review and Process visa applications
- Maintain Databases, input new information, and compile reports
- Participate in Interviewing applicants
- Participate in the On-boarding and approving of camps and employers
- Review and respond to evaluations/surveys
- Assist with Billing & Collections
- Assist in creating content for Social Media postings
- Provide data and content for reporting documents
- Manage and respond to program inquiries
- Provide on-going support to participants once in the US
- Assist with ensuring compliance of all systems and processes as required by the US State Dept or similar
- Assist with validation of applicants upon arrival to US
- Assist with the marketing and promotion of programs
- Assist with the development and management of Cultural Exchange events
- Assist with the organizing and shipment of all required documents to clients
- Participate as a member of the IENA Emergency Line as assigned.
- Work with other team members on projects as assigned
- Other duties as needed
Required Qualifications/Skills
- International work, study abroad and/or summer camp experience strong preferred
- Previous experience in Customer Service & Administrative/Office work
- Ability to work across cultures
- Proficient in Microsoft Office programs
- Comfortable learning new technology
- Excellent organizational and communication skills (oral & written)
- Ability to maintain professional demeanor in bus & intense situations
- Very strong attention to detail
- Ability to take initiative and maintain flexibility with job duties Able to work in a team environment
